Orbiis

Real Estate — Vertical Deployment

Operational infrastructure deployed into real estate brokerage operations.

This document describes how Orbiis is deployed into a brokerage operation. It is not a real estate product. It is operational infrastructure installed into the existing operation — structured inquiry intake and qualification, viewing coordination, broker assignment and pipeline routing, long-cycle nurture, operational visibility across agents and branches. The brokerage's transactions, advice, and commitments are unchanged. The operational layer underneath is structured.

Applied across residential, commercial, lettings, and off-plan sales operations.

Operational Context

The structural condition before deployment.

Real estate brokerage operations share a common condition. Inquiry volume is continuous, qualification is uneven, cycles span weeks to many months — and the structural layer holding the operation together does not exist.

01

Multi-source inquiry intake without structure.

Inquiries arrive across digital channels, the brokerage's website, messaging, walk-ins, referrals, and direct contact. There is no structured intake layer that operates consistently across them.

02

Qualification depends on which agent picks up first.

Buyer intent, budget readiness, timeline, and financing posture are evaluated unevenly. Inquiries that need qualification arrive mixed with inquiries that are ready to view.

03

Viewing coordination runs on availability, not on system.

Scheduling viewings depends on individual agent capacity, manual calendar coordination, and informal property-access arrangements. Reschedules and missed viewings are recovered case-by-case.

04

Long-cycle inquiries fall out of memory.

A buyer in month one may be ready to act in month seven. Without a structured nurture layer, the relationship lives in agent memory and is rarely sustained.

05

Multi-agent and multi-branch pipelines visible in fragments.

Active inquiry status, viewing-stage progression, and offer-stage live in agent-specific notes, individual messaging threads, and informal trackers. There is no single operational view across the brokerage.

06

Negotiation and financial questions arrive mixed with operational ones.

Inquiries about scheduling, pricing, financing, and legal terms arrive in the same channels. Routing to the right human depends on whichever staff member opens the message.

Deployed Infrastructure

Five operational layers.

Orbiis deploys five operational layers into a brokerage operation. Each is embedded and runs as part of the operation. They are not features of a software product. They are the systems that handle the work.

01

Inquiry Intake and Qualification

Inquiries arriving across digital channels, the brokerage's website, messaging, phone, referral, and walk-in are received into a single structured intake layer. Each inquiry is classified by type — buyer, seller, tenant, listing-specific, off-plan reservation — and routed accordingly. Qualification — budget, intent, timeline, and financing posture — is captured through a structured intake sequence. Negotiation, financial, and legal questions are routed to qualified human agents. The intake layer handles operational classification, not transactional commitment.

02

Viewing Coordination Infrastructure

Confirmed viewings enter a structured coordination layer. Property access, broker availability, tenant coordination where applicable, confirmation, and rescheduling run as defined sequences. Calendar coordination across agents and branches operates on a single operational layer. Communication remains consistent regardless of which agent or branch is assigned.

03

Broker Assignment and Pipeline Routing

Qualified inquiries are routed to broker assignments through a structured layer. Routing logic — by specialization, geography, or availability — operates as a defined sequence rather than as informal allocation. Re-assignment on broker unavailability is governed at defined thresholds.

04

Long-Cycle Nurture and Dormant Reactivation

Inquiries that do not convert immediately enter a structured nurture layer with defined intervals appropriate to brokerage cycles. Long-dormant inquiries are reactivated through defined sequences. Long-cycle relationship continuity does not depend on individual broker memory.

05

Operational Visibility Across Agents and Branches

Active inquiry status, qualification stage, viewing state, offer-stage progression, and nurture queue are maintained through the operating system. Multi-agent and multi-branch operations share a single consolidated view. Pipeline state does not depend on individual reporting.

Operating State

The operation after deployment.

Stated as conditions. Not outcomes, not metrics, not promises.

Every inquiry enters a structured intake and qualification layer regardless of source.

Negotiation, financial, and legal questions are routed to qualified human agents. The intake layer does not commit to terms or provide financial guidance.

Viewing coordination operates on defined sequences across agents and branches.

Broker assignment is routed through a defined operational layer rather than informal allocation.

Long-cycle nurture operates as a structured layer maintained through the operating system.

Dormant inquiry reactivation runs on defined sequences.

Pipeline state is visible across agents and branches on a single operational layer.

The brokerage's transactions, advice, and commitments are unchanged. The operational layer underneath is structured.

Deployment Entry

Engagements begin with a Revenue Audit.

Engagement structure is documented at /pricing. Scope, deployment depth, and operational architecture for a specific brokerage operation are determined during the Revenue Audit — a structured session focused on the actual operation.
